Location: Cental Paris, on-site 5 days per week
Contract Type: Permanent
Salary: €35,000 – €45,000 depending on level of seniority

 

Our client, an international non-profit organisation, is recruiting a bilingual Executive Assistant for the Paris headquarters.

The role requires a significant amount of writing in English, so a very high level of English is essential, along with fluency in French.

Reporting directly to the Executive Director and elected International Officers and working as part of a team with diverse responsibilities, your main focus will be administrative work and support of the Council. The role involves taking Council and General Assembly meeting minutes and resolutions (in English), translation (English to French), daily correspondence, archiving, and secretariat tasks, while also contributing to transversal activities within the Secretariat. This is a unique opportunity to play an integral role in an international association and support its leadership in a multicultural environment.

You may be requested to travel abroad for Council meetings (2 per year) as well as international congresses and forums.

 

Responsibilities

  • Drafting minutes of Council meetings and General Assemblies (English)
  • Translating Council minutes and General Assembly minutes into French
  • Proofreading English documents
  • Daily correspondence and archiving
  • Receiving, classifying and following up on email and post
  • Follow-up of agendas and preparation of meetings: logistics (on site/remote/hybrid), file management, preparation/editing of support material
  • Organisation of surveys, statistical overviews and research on requested topics
  • Various transversal secretariat activities

 

Profile Required

  • Bilingual French/English
  • Secretariat skills (taking notes, writing minutes of meetings, drafting correspondence etc.)
  • Communication tools proficiency
  • Administrative mail and document management
  • IT and MS Office at an advanced level

 

  • Capacity to work independently with a strong sense of responsibility
  • Organised, structured, and able to prioritise
  • Proactive, adaptable, and flexible
  • Team-oriented with motivation to work at an international level and sensitivity to different cultures
  • Efficiency, flexibility, loyalty and discretion
  • Degree in languages, administration, or management or proven experience in a comparable role
