Reporting directly to the Personal Assistant and coordinated on a daily basis by the Senior Executive Assistant, you will provide administrative and operational support to the Chairman within a highly confidential, fast-paced and international environment.
This role is ideal for a motivated junior profile seeking to develop within a demanding and high-level executive support function.
The position is predominantly focused on complex diary management (scheduling a high volume of meetings and international travel).
Candidates must be fluent in Italian and English. French is a plus.
Work Hours
- Shifts are alternate weeks: 9:00am - 5:00pm / 12:00pm- 8:00pm, Monday – Friday
- The role involves alternating on-call weekend availability (one weekend out of two) to manage urgent matters via email or WhatsApp.
Key Responsibilities
- Assist with the management of the Chairman’s complex and frequently changing agenda across multiple time zones
- Coordinate meetings, video conferences, appointments and related logistics, often at short notice
- Support the organization of business and personal travel arrangements, including flights, hotels, transfers and itineraries
- Handle incoming and outgoing emails, calls, invitations and correspondence with professionalism and efficiency
- Maintain and update contact databases and administrative records
- Liaise with internal and external stakeholders, including senior executives and high-level contacts
- Work closely with the PA, Senior Executive Assistant and broader assistant team to ensure seamless coordination of priorities
- Ensure absolute discretion, confidentiality and professionalism in handling sensitive information
Skills & Competencies required
Languages
- Fluent Italian and English, both written and spoken, are mandatory. French is considered a strong advantage
Technical Skills
- Excellent command of Microsoft Office Suite, Outlook, Word, Familiarity with CRM systems, videoconferencing tools and WhatsApp.
- Comfortable working within the Apple environment (iPhone, iPad)
- Strong organizational and database management skills
Organizational Skills
- Ability to manage multiple tasks simultaneously while maintaining accuracy and attention to detail
- Excellent time management and prioritization capabilities
Education & Experience
- Higher education degree preferred (Bachelor’s degree or equivalent)
- Previous internship or initial experience in executive support, administration, coordination, hospitality, finance, consulting or other fast-paced professional environments
- Experience within an international or high-demand environment is considered an advantage
Salary: 2200€ - 2600€ NET per month x 13
